Drum Corps International, the world leader in producing and sanctioning touring, competitive stadium events for the world's most elite and exclusive marching music ensembles, is seeking a professional with relevant travel and meeting planning/hospitality industry experience to fill an immediate opening at its Addison, Ill. corporate headquarters. Travel and Meeting Coordinator The ideal candidate for this position is a friendly, high-energy, customer service-oriented person with experience and a bachelor's degree (or related professional education) in travel and meeting planning and/or related experience in the hospitality industry. This valued member of the dynamic and growing Drum Corps International team is the primary contact for all travel and meeting planning for the corporation. Responsibilities of this position include:

  • Coordinate annual meetings and social functions ranging from 10 to 600 attendees, including hotel/destination research, meeting room and audio/visual setup, menu selection, rooming lists, registration management, arrivals and departure, on-site management and budget/finance management.


  • Serve as primary on-site contact for hotel and venue staffs during events to ensure all logistical aspects of meetings and events are executed properly.


  • Work closely with corporate travel agent to efficiently and effectively manage travel logistics for event staff and adjudicators for more than 120 events throughout North America.


  • Serve as transportation coordinator between adjudicators and tour event chairpersons at each scheduled competitive event. Monitor day-to-day tour and travel logistics needs and facilitate solutions when traveling challenges occur.


  • Organize all ground transportation and hotel accommodations and other needs for major event staff members and adjudicators.


  • Work in collaboration with event staff to ensure efficient coordination and implementation of travel and hospitality plans.


  • Monitor travel budget and report travel, hotel and special event expenses of the corporation.


  • Serve as official point of contact for members of the Drum Corps International Hall of Fame. Coordinate annual induction ceremony with Hall of Fame chairperson.


  • Oversee and coordinate hospitality and special requests for VIPs and corporate partners year round and on-site at major events.


  • Provide customer service to fans with regard to general questions about hotel accommodations in conjunction with major events.
